Aleph Academy

Privacy Policy

Effective October 12, 2026 · Applies to aleph-academy.com and the Aleph SOP Recorder browser extension

In short: Aleph Academy is the private training and operations platform run by Aleph Ventures ("Aleph", "we") for its team and its partner companies. It is invite-only. We use the information in it to run training, support, documents and SOPs for your company. We do not sell personal information and we do not use it for advertising.

Who this covers

People invited to Aleph Academy, whether they are Aleph staff or staff of a partner company, and anyone who emails our support address or uses the Aleph SOP Recorder extension. Your employer, the Aleph partner company you work for, decides to give you access and may see information about your training and activity, as described below.

What we collect

CategoryExamples
Account & profileName, work email, company, role, department, manager, profile photo (if you add one), sign-in and last-seen times.
Personal details (optional)Phone number, birthday, hobbies and interests, if you (or someone who manages you) add them on your profile. Stored encrypted. Visible to you, everyone at Aleph, the people in your own company, and, if you are a Partner Owner, the other Partner Owners. Nobody else can see them. You can change or clear them any time on My profile.
Training activityCourses and paths assigned or completed, quiz answers, certificates, time spent per course and step, time spent studying flash cards, searches and pages opened, acknowledgements of policies and SOPs.
Questions to the assistant ("Ask")The question and the answer shown. Kept for 2 hours so a conversation can be handed to a person if you ask for help, then deleted unless it became a support ticket.
Messages to your managerQuestions you send your manager in the Academy and their replies, visible only to the two of you. The person you message may get an email or phone notification with a short preview.
Support ticketsWhat you send us through the Get help page, the chat bubble or [email protected]: messages and attachments you send, plus our replies and internal notes.
Voice practiceIf you use a spoken roleplay, your speech is sent to Cloudflare for transcription and to Google for feedback on your delivery. We keep the transcript and score. Recordings from voice practice are not stored. The exception is a certification recording, where the video is stored (see "Certification recordings").
Certification recordingsIf you record a simulated estimate for a certification, the video (camera and microphone) is stored privately. Only you and the people who review it can watch it: your coach, your managers, your company's admins, and Aleph's executives and admins. Your speech is sent to Cloudflare for transcription. We keep the transcript, the AI and coach scores and your coach's notes as part of your training record. The video is deleted 90 days after it's reviewed (180 days if it's never reviewed), or right away if you withdraw it.
Documents & e-signaturesAgreements you create or sign, typed signature name, time signed, and the related audit trail.
Company files & SOPsFiles your company uploads, and SOPs including their step screenshots and text.
Coaching scoresIf your company uses Aleph's AI sales or canvass coach, the section scores and notes it sends us. These are visible to your coach and managers, not to you in the Academy.
Security trainingResults of practice phishing emails (opened, clicked, reported) and emails you report as suspicious.
Devices & notificationsIf you turn on phone or browser notifications: the push subscription for that device, and whether notifications are still allowed there and whether it runs as the installed app (checked when you open the Academy), so messages reach you by notification or, if not, by email. Sign-in devices: for each device you are signed in on, the device type, browser, approximate location (city and country) and when it was last active are visible to you (My profile → Your devices) and to your company's admins and Aleph's admins, who can sign a device out; you are told when someone else does, and each sign-out is recorded. IP addresses are not shown to anyone in the Academy. Basic technical data such as browser type and IP address is processed by our hosting provider to deliver and protect the service. Page speed: for some visits the Academy records how fast pages loaded and responded (timings only, the kind of page such as “a course”, and whether it was a phone or computer) so we can keep it fast; these measurements carry no name, email or page content and are deleted after 30 days.

The Aleph SOP Recorder extension

The extension helps you create step-by-step SOPs.

How we use information

Some features use AI to draft or classify text: answering training questions, suggesting support replies, sorting tickets, summarising and prioritising support tickets, wording SOP steps, grading practice conversations, transcribing and reviewing certification recordings, and filtering suspicious email. AI output is reviewed or can be overridden by people. Your information is not used to train third-party AI models.
